Organization tools i use as a HR professional

In the Human Resources field, it’s crucial to have an organization system to keep you on track. Here are the tools i use to keep me organized throughout the week.

1. Email organization: i use outlook as a work email. Outlook has many features such as the ability to create folders, color code meetings, and create tasks. These help you categorize important emails and save time scrolling.

2. One Note: i dont see One Note get talked about alot but, i love it. I setup folders and within the folders i create pages and subpages based on various topics. I think One Note is a great digital notebook to use.

3. Notability: if you love digital planning/note taking you should try this. I can create my own weekly task templates, send myself notes, share notes, and stay organized. It’s a great app to you with features to also import templates and pictures.

4. Journal: if you are not a digital person, use a physical journal. I interchange my digital and physical. I like to use my physical journal to jot down ad hoc actions throughout the week.

For example, under a 'General HR' notebook, I might have pages for 'Policy Updates,' 'Training Materials,' and a detailed section for 'Employee Changes' tracking onboarding and offboarding checklists. Similarly, for sensitive matters, a 'Investigations' notebook ensures all notes, evidence, and timelines for each case are securely centralized and easily retrievable. It’s like having a perfectly indexed filing cabinet right on my laptop screen, always accessible, making me feel like a truly organized corporate HR professional. Notability for Dynamic HR Planning and Note-Taking For my daily planning and meeting notes, especially when I'm on the go or in a hybrid work setting, Notability on my tablet is invaluable. I've customized weekly task templates specifically for HR needs. These templates help me track interview schedules, performance review deadlines, and even my own professional development goals. I can easily import PDFs of policy drafts or forms to annotate during meetings, then share them instantly with colleagues. It’s a flexible tool that allows me to maintain a structured weekly overview while adapting to the fluid nature of HR tasks, ensuring I track daily meetings and tasks efficiently. The Enduring Value of a Physical Journal on My Desk Despite my heavy reliance on digital tools, a physical journal remains a fixture on my corporate HR desk.
