Mindset Rule #2 : Communicate Before You Escalate

On the PMP exam, do not run to escalation first.

Most of the time, PMI wants you to communicate, assess, and try to resolve the issue at the right level before escalating it.

If there is conflict, talk to the people involved.

If there is confusion, clarify expectations.

If there is a misunderstanding, communicate with the team or stakeholder.

If there is an issue, review the situation before pushing it up to senior leadership.

Escalation may be necessary sometimes, but it should not be your first move.

A project manager does not avoid problems.

A project manager communicates, collaborates, and works toward resolution.

Remember this:

Communicate first.

Escalate only when necessary.

That is the PMP mindset.

One effective strategy is to hold short, focused discussions to address misunderstandings or disagreements as soon as they surface. This proactive communication not only helps in clarifying expectations but also builds trust within the team. I learned that documenting these conversations with meeting notes or emails can help maintain clarity and prevent issues from escalating unnecessarily. Moreover, understanding the appropriate levels of authority and when escalation is truly warranted is key. Not every issue needs to be brought up to sponsors or upper management—only those beyond the project manager’s scope or requiring sponsor action. This approach reflects the PMI’s emphasis on decision-making skills over mere memorization for the PMP exam. In practice, when I faced conflicts or confusion, I made a point to listen carefully and facilitate open dialogue, aiming to collaboratively develop solutions. Only when these efforts didn’t resolve the problem did I escalate appropriately. This not only improves project outcomes but also demonstrates strong leadership and problem-solving abilities that align with PMP principles. In preparation for the PMP exam, internalizing this mindset rule by practicing scenario-based questions involving communication and escalation helped boost my confidence. I recommend fellow PMP candidates focus on developing communication skills and assessing situations critically before deciding to escalate. Communicating first fosters collaboration, reduces unnecessary escalations, and is a hallmark of effective project management and successful PMP certification.
